Job Brief:
The Sales Coordinator will support the Sales Team by managing customer information, coordinating sales activities, maintaining accurate records, and ensuring smooth communication between internal teams and clients. Key Responsibilities:
1. Customer Data Management
- Maintain accurate and complete customer records in CRM or sales systems.
- Ensure all customer details such as name, phone number, email, address, and tags are correctly updated.

2. Sales Support
- Assist the Sales Team with daily administrative tasks.
- Prepare and share quotations, proposals, and sales documents as required

3. Coordination and Communication
- Act as a point of contact between Sales, Operations, and Customers.
- Coordinate meetings, calls, and follow-ups for the sales team.
- Share updates with internal teams regarding customer requirements.
4. Reporting and Documentation
- Maintain sales reports, trackers, and dashboards.
- Provide regular updates on leads, inquiries, and follow-ups.
- Ensure proper documentation of sales activities.
5. Customer Follow-ups
- Follow up with customers for pending information or confirmations
- Ensure timely response to customer queries
- Escalate issues to the Sales Manager when required

This role requires excellent American English communication, confidence speaking with U.S. business owners and decision-makers, and prior experience working U.S. business hours. You will serve as the first point of contact for prospective customers—qualifying leads, handling inquiries, and supporting the U.S. sales team during Pacific Time hours.
This is not a generic call-center role. It is a professional, business-to-business (B2B) sales communication position with real customer interaction and ownership.
Responsibilities:
- Handle inbound calls from U.S. customers in a professional, confident, and consultative manner

MachineStation is a U.S.-based company specializing in the buying, selling, and automation of CNC machinery. We are seeking a high-performing Virtual Executive Assistant to directly support the CEO.
This is not a clerical or data-entry role. It is a strategic executive coordination position requiring exceptional communication skills, strong judgment, attention to detail, and complete ownership of follow-through.
You will act as the CEO’s digital right hand, ensuring seamless execution of schedules, communications, operations, and cross-team coordination between the U.S. and India teams. The ideal candidate is proactive, business-minded, highly organized, and capable of managing multiple moving parts with precision and accountability.
Key Objectives
- Act as a remote extension of the CEO for administrative, operational, and communication needs
- Ensure meetings, follow-ups, and commitments are executed accurately and on time
- Coordinate seamlessly between U.S.-based operations and India-based teams
- Keep the CEO organized, informed, and focused on high-value decisions
Core Responsibilities:
1. Executive Support & Communication
- Manage and maintain the CEO’s Google Calendar (scheduling, confirmations, rescheduling)
- Attend key meetings virtually to:
- Take detailed notes
- Summarize discussions
- Track and follow up on action items
- Draft, send, and manage professional email communication on behalf of the CEO
- Prepare daily briefings covering:
- Follow-ups
- Payments
- Shipments
- Open tasks and priorities
- Handle calls via Zoom, Google Meet, or WhatsApp with vendors, customers, or internal teams as required
2. Administrative Operations
- Prepare and manage digital documents, invoices, and expense summaries
- Track payments and shipment progress
- Maintain and update Trello boards with accurate deal and task information
- Organize and manage files across Google Drive, Google Sheets, and documentation systems
- Handle travel bookings, hotel reservations, and local arrangements for the CEO or visiting staff
3. Cross-Team Coordination
- Liaise daily with the U.S. Business Operations & Purchasing Coordinator to ensure smooth task handoffs
- Coordinate with India-based team members (Prabha, Lalit, Piya) to align follow-ups and updates
- Maintain a daily task dashboard summarizing:
- Work completed

4. Reporting & Accountability
- Send a daily end-of-day (EOD) update email to the CEO covering:
- Completed tasks
- Pending follow-ups
- Upcoming meetings and deadlines
- Prepare weekly status reports (Google Sheets or Notion)
- Maintain 100% accuracy in data, documentation, follow-ups, and deadlines
Required Skills & Qualifications
- Proven experience as an Executive Assistant, Virtual Assistant to a CEO, or similar high-responsibility role.
